General Terms and Conditions (GTC)

Please read the following terms and conditions carefully to avoid any misunderstandings.

Conclusion of contract
The contract for the travel service becomes binding as soon as a written booking confirmation and mutual agreement has been received. Inquiries from the guest must be made in writing and will be confirmed by us in text form.

Subject of the contract
The subject of the contract are the services described on our website (www.arctic-hearts.com). Requests that go beyond this must be requested in writing and confirmed by us in order to become part of the contract.

Prices and payment terms
The prices for our services can be viewed on our website (www.arctic-hearts.com). Prices are subject to change. A deposit of 50% of the total price must be paid upon receipt of the invoice. The total price must be transferred to the bank details provided by us no later than 30 days before arrival. In the event of late payments, we reserve the right to withhold services or terminate the contract. Cancellation costs will be charged to the customer.

Withdrawal and cancellation
Cancellations and rebookings must be made in writing. The calculation of the cancellation costs depends on the date of receipt of the notification. Cancellation costs are as follows:

60 to 31 days before departure: 10%
30 to 14 days before departure: 50%
14 to 2 days before departure: 80%
1 day before arrival or no-show: 100%

Liability
We are not liable for damages and disadvantages that were not caused by us or our assistants. This includes:


Damage caused by force majeure

Failure or fault of the guest before or during the trip

Unforeseeable failures of third parties involved in the provision of the services

If our instructions are not followed, we will not be held liable


Insurance
The customer is not insured by us. It is the customer's responsibility to take out adequate health and accident insurance (including for sports accidents). Even if the activities are carried out carefully, accidents cannot be ruled out. Travel insurance is recommended to cover any health issues that prevent participation.

Data protection
This data protection declaration informs you about the type, scope and purpose of the collection and use of personal data by Arctic Hearts. We take the protection of your data seriously and treat it with the greatest care in accordance with legal regulations.

However, we cannot guarantee the security of data transmission over the Internet, especially not when transmitted via email. The use of the contact details published in the imprint for advertising purposes is expressly prohibited.

When you contact us (e.g. via contact form or email), we save your details to process the request. You can visit our website without providing any personal data. Data collected includes:

IP address of the computer

Date and time of access

Origin page, possibly search terms

Name and URL of the retrieved file

Search queries

Transmission protocol
